Motivating Employees to Be More Productive
Using factors like money, job security, and a comfortable workspace, to motivate employees is often overestimated, as they generally only result in employees not becoming less motivated, as opposed to them becoming more motivated. They tend to sustain ther current level of motivation, but rarely increase it.
A lot of people are miserable at their jobs and lack motivation because once their primary biological needs have been met (the ability to eat and survive), the rest of their needs are left unattended (for example, the need to be mentally stimulated and challenged).
To change this it is first necessary to distinguish the various types of needs. Identifying these needs on an individual basis means that you can make specific strategies for for each one to improve workplace motivation.
- Physiological. They include the first requirements of living; air, water, food and sleep. They represent the fundamental reason that motivates people to work hard. If losing employment means a chance of starving or the lose of a home, most people will naturally be inclined to work harder.
- Safety. On the meeting of biological needs, people will likely proceed to work hard to uphold job security. However, for the majority their motivation ends there. Having established the security of their job, their missing motivation is a result of higher and broader needs like the following.
- Interpersonal. Co-worker compatibility plays an important role. If relations between employees are sour or there is a lack of, boredom results with unmotivated workers taking more sick days or being regularly late for work. Make an effort to plan days outs and team-building sessions.
- Ego. Lots of managers mistakenly overlook this need. To create buoyant and motivated workers, it’s necessary to have them feel appreciated and important. When someone performs well on an aspect of their job, reward them in some way.
- Self-Actualization. Circumstances that challenge the minds of employees and provide opportunities for growth are ideal as a strategy to improve workplace motivation. Delegate greater responsibilities where possible and set-up some kind of employee incentive program where workers can receive benefits.
In theory, when one of these needs is met an employee will develop a desire to satisfy the next need. A manager must be able to identify which stage each of their employees is at so that they can help them work towards satisfying their next need.
To find out which stage employees are at, managers should arrange one-on-one meetings with each employee to get to know them better and to find out not just about their worklife, but also about their families, what they do in their free time, etc. This should not just be a one off event either, rather, it should be a regular occurence, so that a trusting relationship can be built and progress can be tracked.
As an employee realizes that not only are they meeting their needs, but they are being helped to do so by their manager, their level of motivation and productivity will significantly increase.

Motivate Employees to be More Dependable by Emphasizing Behaviors, not Traits
So you are planning to have a performance discussion with your employees about being more dependable. What behaviors will you associate with this trait? Will you be able to explain what âdependableâ means by giving your employees examples of specific things they do or donât do? Or will your explanation primarily include more traits. For example:
âDependability means to be reliable, to be punctual, to be responsible, to be available, etc.â
If you offer examples of what you mean, your employees will have a clear picture of your performance expectations. So you are more likely to get the change in behaviors you want. If you primarily use synonyms (i.e. more traits) to describe what you mean, behaviors are subject to âpersonal interpretation.â In other words, what represents dependable behaviors to you might not necessary represent the same thing to your employees. So you may or may not get the performance you want.
So why not increase your chances of performance improvement by being specific? Below are seven examples of dependable behaviors. Add these to your list of examples if you already have some; or start with these if you donât.
1. Arrives at locations, meetings, or events on time
2. Completes individual assignments on time
3. Gives information to coworkers, colleagues, or superiors on time
4.Offers help when personal workload is low, but coworkersâ workload is high
5. Responds to customersâ requests in a timely manner
6. Adheres to rules, regulations, or procedures
7. Works toward the achievement of achievement of team, office, or organizational goals
Customize Your âDependabilityâ Behaviors
To create your customized list of âdependableâ behaviors, think about the areas where you need employeesâ support the most, and think about why you need their support. Do you depend on employees to arrive at meetings on time so you can end meetings on time? Or perhaps you depend on employees to respond timely to customersâ requests so you can meet goals of service excellence. Dependability covers many areas. You can create a vast list of examples by identifying the behaviors you want and the impact of those behaviors.
Clear Performance Behaviors Lead To Better Performance
Your management goal is to motivate employees to deliver the kind of performance that will help you achieve workplace goals. If your employees have a clear understanding of your performance expectations, you are more likely to achieve your management goal. When you talk about the importance of being dependable, offer examples that include performance behaviors. If you do, you will increase the likelihood that what represents âdependable behaviorsâ to you will represent the same thing to your employees.
